How we handle information about visitors, clients, and people who call a business using our receptionist.
AI Driven Marketing is a sole proprietorship based in Grass Valley, California. We build websites and provide an AI receptionist service for local businesses.
This policy covers three different groups of people, and what we do with data differs for each:
If you fill in a form, whatever you put in it — typically your name, business name, phone number and email. Beyond that, only the standard server logs our hosting provider keeps, such as your IP address and the pages requested. If you try the text demo of our receptionist, what you type is sent to Anthropic to write the replies and is not stored by us; we keep only a scrambled (hashed) form of your IP address and a count of messages, to limit how much the demo can be used each day.
Your business details, contact information, billing records, the email address you want lead alerts sent to, the documents you upload to train your receptionist, the settings you choose, and the status and notes you add to your leads in your dashboard. When we set you up, we create your sign-in account with the email address you give us. When you sign in, we email you a one-time code, and our database provider records when you signed in; if you set up an authenticator app, it stores the key that app uses.
Your phone number, a written transcript of the call, and whatever you tell the receptionist — usually your name, a number to call you back on, the reason for calling, and sometimes your address. Calls are not recorded as audio.
Calls to our receptionist are turned into a written transcript as they happen. The audio itself is not recorded or kept. At the start of every call, before asking anything, the receptionist tells you that it is an automated assistant and that the call is transcribed.
If you would rather not speak to an automated assistant, hang up and contact the business another way. Their normal phone number, email and address are unaffected by this service.
Caller information exists for one purpose: passing it to the business you called, so they can call you back. When your call ends, we save the details you gave and email them to the business as a lead alert. The business can also see your details and the transcript in its dashboard, and can download its leads (without transcripts) as a spreadsheet. Unless the business has turned it off, we receive a copy of that email too, so we can check the service is working.
To set up a client’s receptionist, we keep a profile of their business that they fill in from their dashboard: their hours, the area they cover, what they do and don’t do, how calls should be handled, and, if they choose, a statement about their licence and insurance. We check each version before it is approved, and we keep earlier versions.
Client information is used to operate the service, configure the receptionist, send your lead alerts, and bill you.
Site visitor information is used to reply when you ask us to and to keep the site running.
When you send the contact form, we’re emailed a copy of what you entered — your name, business, phone number and message — through Resend, our email provider, so we can reply quickly.
We do not sell personal information, and we do not use calls to train AI models.
We use other companies to run parts of the service. Each only receives what it needs:

When you call a business using our receptionist, that business is the one deciding what happens with your information. We hold it on their behalf. If you want your details removed, contact them or us and we will handle it together.
Call transcripts are deleted automatically after 90 days, unless the business you called has chosen a different period between 7 and 365 days.
Lead details — your name, callback number, address and what you needed — are kept while the business uses our service, so they can look back through their own calls, and are deleted 90 days after they stop.
Each lead alert is an email to the business. Once delivered, it sits in their inbox under their control, like any other email they receive. The same goes for any spreadsheet of leads the business downloads from its dashboard.
Those contact form emails stay in our own inbox, like any other email we receive.
Vapi, which handles the call itself, keeps its own copy of each call. About an hour after the call, once we have saved it, we ask Vapi to delete that copy. Vapi's own retention terms apply to what it holds.
Clients can ask us to delete any call record, or everything at once.
Client account and billing records are kept while the account is active and for a period afterwards for tax and accounting purposes.
We also keep a record of changes made to a client's account (for example suspending, closing or reopening it, editing its details, or a setting the client changes in their dashboard) with who made each change and when, along with any internal notes we keep about the account. This record is kept as long as the account record.
A client’s receptionist profile and its earlier versions are kept as long as the account record.
If you called a business and want your details removed sooner, email us and we will arrange it with them.
If you live in California, the CCPA and CPRA give you the right to know what personal information we hold about you, to ask for a copy, to have it corrected, and to have it deleted. You can also ask us not to sell or share it — though we do neither.
Exercising any of these will never result in worse service or different pricing.
To make a request, email the address below. We will confirm who you are before acting, and respond within the time the law allows.
This site does not currently use analytics or tracking cookies. When a client signs in, the sign-in session is kept in their browser's local storage so they stay signed in; it is not used for tracking, and signing out removes it. The client dashboard also keeps a copy of its own app files on the device, so it opens quickly and can be saved to a phone's home screen, and remembers which business was last viewed. It never stores lead, call or transcript details on the device. If that changes, we will update this policy to say what is used and why.
The sign-in page also remembers, on that device only, the email address last used to sign in (kept after signing out, until you choose “Use a different email”) and, for ten minutes after sending a code, which address the code went to; the dashboard also remembers if you chose “Not now” on its home-screen tip.
